How to Receive Large Files
Summary: If you need to receive large files
from non-UCI colleagues, you can set up a private directory in WebFiles and
create a password protected "ticket" that allows others to safely
and easily upload files.
Step 1: Create an upload directory.
- Create a new directory by clicking on the
New Directory icon.
- Give it a name, for example "dropbox" or "upload".
(You can name it anything you choose.)
- Make sure sharing is turned off. The sharing icon should
look like this.
If
it does not, click the sharing icon and turn off all permissions for the Public.
Step 2: Create a Ticket for your Upload directory.
- Click the Manage icon for your Upload directory.

- Under Collaboration click on the Tickets link.
- Click the Create a ticket for this resource button.
- Select Advanced from the drop down menu on the right.
- You can select the scope of the permissions on this screen.
- Select Read
and Write for Define Permissions.
- Choose a time duration for the ticket. This can range from minutes
to years or be unlimited.
- Create a password for the ticket to further protect this directory. This is optional but highly recommended to prevent unauthorized
use. Don't
use your UCInetID password. You
will need to share this password with your colleagues so they can access
the directory.
- Click OK
- You can e-mail the link to your colleague by using the Email link button
or copying and pasting the URL into your e-mail message. Remember to also give
them the password if you chose that option.
Step 3: Create a Subscription for your Upload directory. (Optional)
Subscriptions notify you of any changes to your directory. Though this is optional,
it is recommended because a subscription will notify you when you have received new files in this directory.
- Click the Manage icon for your Upload directory.

- Under Collaboration click on the Subscriptions link.
- Click on Create new subscription button at the top of the
page.
- Check the box next to "change events" to be notified when someone
uploads a file to your directory.
- Select "Daily report" or "When events occur" to select
how often you want to be notified.
- Click OK. You will be notified by e-mail when a change has occurred to
the directory.
Step 4. Set a Quota Limit on your Upload directory. (Optional)
You should choose to limit the amount of
space used for your Upload directory. While this is optional, it is highly recommended. You have 2 GB (gigabytes) of storage allocated
to your entire WebFiles account.
- Click the Manage icon for your Upload directory.

- Click on the Directory Properties heading to expand this section.
- Click on the Quota link. (It doesn't look like a link.)
- Type in a number in MB (megabytes).
- Click OK
- Click Back to return to the directory listing.
Instructions for your colleagues.
- Tell your colleague to visit the URL provided in the e-mail. This page will appear:
- Then type in the password (it should be provided by you in the same email or separately).
- To upload a file, tell your colleague to click on the Upload icon on the top toolbar.
- Then click the Browse button and select the file to be uploaded.
- Click OK.
- Check the directory list that the file has been added.
