Configuring Outlook 2003 using IMAP
for Windows
Summary: This handout is a comprehensive
set of instructions to configure Microsoft Outlook 2003 to
work with OIT Mail Servers.
What is IMAP?
Norton Anti-Virus Conflict
If you receive an error such as: "Unable to send an encrypted file ",
it is likely due to use of a consumer version of Norton
Antivirus configured
to scan outgoing mail. You will need to disable
scanning outgoing mail. If you use Norton Internet
Security, it conflicts with our services. To use UCI's outgoing mail server, you will need to uninstall Norton Internet Security. Call the Response Center at (949) 824-2222
for more information.
- IMAP (Internet Message Access Protocol) stores your email on the server.
You can view just the heading and the sender of the email message and then
decide whether to download the message. Since your email is stored on the
server, all your messages will be available wherever you check your mail.
You can also create and manipulate folders or mailboxes on the server.
- Some things to consider:
You must be connected to the Internet whenever you read your email. Since
you will be keeping all your email on the server, you need to manage your
mail deletion more carefully so you won't go over disk quota. One drawback
is that it is a slower protocol than POP due to its "synchronization" process.
- Is IMAP the mail protocol for you?
This will depend on your email needs and work habits. For advice, faculty
and staff should consult your Computing Support Coordinator.
NOTE: OIT does not support
Outlook 2003. We cannot guarantee that Outlook will work with OIT Mailbox
Services. If you encounter trouble using this program please switch
to a different mail program listed at http://www.nacs.uci.edu/email/settings.html
Getting Started
The Email Accounts Wizard is where your personal information and the names of the incoming/outgoing
servers are setup and stored.

Launch Outlook 2003 by clicking on it's icon.

Please go to the Tools menu and choose Email Accounts.

Select Add a new email account. Then click Next.

- Choose IMAP as your server type. Then click Next. (Figure 2)

Please fill in the following information for Internet E-Mail Settings. (Figure 3)

Check the Remember password box if you want to save your password. Remember that using this option will allow anyone with access to your computer to read and send mail in your name.

Then click on the More Settings Button.

Click on the Outgoing Server tab and then
check My outgoing server (SMTP) requires authentication. Make
sure Use same settings as my incoming mail server is selected. (Figure
4)
Problems Sending Email From Home?
Your Internet Service Provider may be blocking other servers from sending email. This is to cut down on the spread of spam and viruses.
Option 1: Use your ISP's outgoing mail server (SMTP).
Option 2: If you use a mobile computer, you may want to use the Virtual Private Network (VPN) when sending email. This will allow you to encrypt your email and use UCI's SMTP servers.

Click on the Advanced tab. Make sure the both Incoming and Outgoing server use encrypted connection (SSL).
- Change the Outgoing server (SMTP) port to 587.

Then press OK to close this window.
Click Next and then Finish. (Figure 5)
